Credits and discounts

A credit lowers what a family owes without changing the invoice's amount, so the invoice still shows the full tuition and the family sees the credit and its reason on its own line. No money changes hands, so a credit is never counted as money collected. Give one on an invoice that already exists, while you create an invoice, or while you add tuition. Owners and admins can give credits.

Steps

  1. To credit an invoice that already exists, open it and choose Record payment or credit, then Credit.
  2. Enter the amount, the date, and the Reason, for example Early registration discount. Families see the reason on the invoice, the email and the statement.
  3. Choose Give credit. The line under the amount shows what will be left to pay before you save.
  4. To credit while creating, choose Add a credit in Create invoice. The box underneath shows the total, the credit and what the family pays.
  5. To credit while adding tuition, choose Add a credit in Add tuition. With several students, type one Reason, then an amount for each student, or one amount under Same for everyone and Fill all. Leave a student blank for no credit. The credit goes on the first invoice only.

Good to know

  • A credit bigger than what is left on the invoice is split: what fits goes on the invoice, and the rest goes on the student's account for a later invoice. The dialog says so before you save.
  • A credit given before the invoice exists, with On account chosen, waits on the student's account. When you next create an invoice for them, Create invoice offers to use it. It is never used unless you tick that box.
  • If a credit covers the whole invoice, Create invoice offers Save instead of Send invoice: there is nothing for the family to pay, so nothing is emailed.
  • On Billing, the Payments tab lists credits with a Credit label, and shows Credits given beside the money received. Choose Credits to see only them.
  • To take a credit back, open the invoice and choose Remove beside it. The invoice owes that amount again.
  • If you change a tuition after giving a credit on one of its drafts, that draft is kept as it was, and you are told. Change it from the invoice.
  • A credit is money off, not a lesson. To owe a student a lesson instead, give a makeup: see the makeup lessons guide.
  • Cancelled a lesson that is already on an invoice? Cancelling does not change the invoice. Give a credit on it for that lesson.
